Team Roles & Responsibilities
Set-Up/Decorating Team
- Arrival Time: At least 45 minutes before the event, or as stated otherwise.
- Set up tables, chairs, and decorations.
- Ensure the event space is welcoming, neat, and functional.
- Get creative! We encourage you to bring your unique touch to create a warm atmosphere.
- Teamwork and flexibility are key, as set-up may involve last-minute adjustments or changes.
- Help ensure the environment is both beautiful and practical for the needs of the event.
Greeting/Check-In Team
- Arrival Time: No later than 30 minutes before the event starts.
- Warmly welcome women as they arrive at the event.
- Direct attendees to the check-in table.
- Welcome first-time guests and provide them with information about the City of Refuge.
- Help all participants register for giveaways (if provided).
- Ensure all guests are greeted with a smile and made to feel comfortable and loved.
- A friendly, positive attitude is essential for this team. Your role is to set the tone for a welcoming environment.
Food/Beverages Team
- Arrival Time: At least 30 minutes before the event starts.
- Prepare coffee, set up beverages, and place water and food items out.
- Ensure that plates, napkins, forks, and cups are readily available for guests.
- Make sure the food area is clean, functional, and inviting, providing an enjoyable experience for the attendees.
- Attention to detail is important to ensure a smooth food service and a welcoming atmosphere.
- Help ensure food is available and accessible throughout the event, keeping the area organized.
Worship Team
- Arrival Time: On time and prepared.
- Lead the women in 2-3 worship songs, singing and/or playing instruments.
- Prepare the women’s hearts to receive the Word and ministry of the Holy Spirit.
- Help the women focus on Jesus, creating a spiritual atmosphere where hearts can be transformed.
- If lyrics presentations are to be provided, someone on the team will be responsible for creating them and ensuring they are ready to be presented during worship. However, this is not a requirement, and worship can be led without a presentation of lyrics.
Clean-Up Team
- Arrival Time: After the event ends.
- Clear tables and wash dishes.
- Clean the kitchen and dispose of trash.
- Tear down and put away any decorations used for the event.
- Ensure the event space is returned to its original state, leaving the venue ready for future use.
- Clean-up requires teamwork and a positive attitude to efficiently wrap up the event.
- Everyone’s participation ensures the space is left in good condition for the next gathering.
We welcome and encourage multiple women to volunteer for each team. This allows for rotating service, ensuring that no one team member is overburdened, and gives others the opportunity to serve and grow in leadership. We believe that serving together is a great way to build unity in Christ and develop lasting connections with other women.
